Privacy Policy

Last Updated: May 29, 2026  |  This policy covers both this website and the handling of your device and data during in-shop or on-site repair services.

Fox Box Computer Repair is a locally owned computer repair and technology services business based in Pennington Gap, VA. We take your privacy seriously — both when you visit our website and when you hand us your computer. This policy explains what information we collect, what we access on your device during service, how we protect your data, and what we will and won’t do with your information.

Your Device and Your Files During Service

This is the section that matters most if you’re bringing us a computer to repair.

What We May Access

When you bring your device to us for repair, diagnostics, virus removal, cleanup, or any other service, our technicians may need to access parts of your computer to do their job. This can include:

  • The operating system, installed programs, and system settings
  • Files and folders — to the extent necessary to diagnose or resolve the specific problem you brought the device in for
  • Browser data, temporary files, and cached data during cleanup services
  • Personal files if a data backup, data transfer, or data recovery is part of the service you requested

We access only what is necessary to perform the service you requested. We do not browse your personal files out of curiosity.

What We Will Not Do

  • Copy, download, or retain any of your personal files, photos, videos, documents, or other data — unless you explicitly ask us to as part of the service
  • Share your personal files or data with any third party
  • Use your personal information for advertising, marketing, or any purpose other than providing the service you requested
  • Access your accounts (email, banking, social media) unless you specifically ask us to and only with your direct knowledge and permission
  • Retain copies of your passwords, credentials, or login information after the service is complete

Confidentiality

Everything on your device — your files, browsing history, documents, photos, emails, financial records, personal communications — is treated as strictly confidential. Our technicians are bound by this policy. What’s on your computer stays between you and us.

Mandatory Reporting Obligation

There is one exception to confidentiality that we are required by federal law to disclose: if our technicians discover what appears to be child sexual abuse material (CSAM) or other illegal content involving the exploitation of minors during the course of a repair, we are required by federal law (18 U.S.C. § 2258A) to immediately stop work, report the discovery to the National Center for Missing and Exploited Children (NCMEC), and cooperate fully with any law enforcement requests. We are not required to actively search for such content, but we are required to report it if we encounter it.

Your Responsibility to Back Up Your Data

We take great care with every device in our shop. However, computer repair always carries an inherent risk of data loss. Hard drives can fail unexpectedly during service. Software issues can sometimes require a full system reset. Data loss during repair can occur even when every precaution is taken.

Before bringing your device to us for any service, we strongly recommend that you back up your important files — photos, documents, videos, and anything else you cannot afford to lose.

If you need help setting up a backup before service, we can assist with that — just ask. Fox Box is not liable for data loss that occurs during the course of a repair unless that loss was the direct result of our negligence. If data loss is a known risk for your specific repair, we will tell you before we start work.

Passwords and Login Credentials

If your repair requires access to a password-protected device or account, we will ask for your password or a temporary access credential. We use passwords only to perform the service you requested.

We recommend creating a temporary password or PIN for the service period if your device supports it, then changing it after you get the device back. We do not retain, record, or share your passwords after service is complete.

Customer Information We Collect

When you contact us, schedule service, or use our services, we may collect your name, phone number, email address, physical address (for pickup and delivery), a description of the issue with your device, and a record of service history. We use this information only to communicate with you, provide the services you requested, and maintain service records.

We do not sell your contact information. We do not add you to marketing lists without your consent. We do not share your information with third parties except as required by law. You may request deletion of your records at any time by contacting us.

To exercise any of these rights, contact us. We do not sell personal data.

Children’s Privacy

Our services are not directed at children under 13. If a parent or guardian brings in a device on behalf of a child, we treat that service with the same confidentiality and data handling described in this policy.

We may update this policy from time to time. When we do, we will update the “Last Updated” date at the top of this page. Continued use of our services after a policy update constitutes your acceptance of the updated policy.
